Contacts

Overview

Contacts are the customer records behind Inbox conversations, bookings, and broadcasts. Use Contacts to maintain identity, channel details, tags, and lead temperature that drive follow-up audiences, assignment, and analytics. Confirm you have the right person before editing key fields.

Channel identity matters. A phone number, Instagram identity, Messenger identity, website visitor, or imported record may represent how KiloBot first learned about the customer. Confirm you are editing the correct person before changing key details.

  1. Open Contacts for the selected agent.
  2. Use search and filters to find the person you need.
  3. Open the Contact detail page for the full record.

Maintain useful context

Apply lead temperature consistently because follow-up audiences, assignment, and analytics can depend on this context. Set Lead Temperature to Hot for strong immediate intent, Warm for meaningful interest that still needs progress, or Cold when the lead is not currently progressing.

  1. Keep the Contact's name and reachable contact information accurate.
  2. Add tags for durable segments or operational labels.
  3. Set Lead Temperature for the current sales signal.

Open conversations and bookings

Bookings created by the AI or a teammate remain connected to the customer so the team can see the latest status and prior appointment activity.

  1. From the Contact record, open the relevant Inbox thread.
  2. Review customer history and connected bookings.

Avoid duplicates

  1. Search for existing channel identities and contact details before creating or importing a record.
  2. If the same person contacts you through another platform, verify the relationship before treating the records as interchangeable.
