Reminders

Overview

Reminders send an approved WhatsApp Message Template before a booked appointment. Configure them from the Reminders view in Workflow. Use Reminders for time-based appointment messaging; use Follow-ups when you need to re-engage after no reply.

Before you begin

Confirm you have active Services, booked appointments, a connected WhatsApp channel, and an approved Message Template. Provider charges are covered in Usage and billing.

Choose the activation scope

The scope controls which appointments enter scheduling; it does not change the appointment itself. Follow-ups use the same scope pattern — see Follow-ups.

  1. Open Workflow and switch to Reminders.
  2. Choose Current & future to schedule remaining eligible reminders for confirmed upcoming and new appointments, or Future only to schedule reminders only for appointments created while the automation is on.

Set the schedule

Keep reminder times far enough apart that customers are not overwhelmed.

  1. Choose the number of reminders.
  2. Set when each reminder should go out.
  3. Use predefined timing options or a custom positive duration in minutes, hours, days, or weeks.

Select the message

The template must remain Approved to be sent. Review the Summary before turning the automation on.

  1. Choose an approved WhatsApp Message Template.
  2. Confirm the selection.
  3. Review the Summary before turning the automation on.

Monitor reminder history

Sent, failed, cancelled, scheduled, and skipped outcomes use separate status indicators. The footer summarizes all-time sent activity and estimated spend where pricing is known.

  1. Open History from the reminder Summary.
  2. Review the customer, template, scheduled time, sent time, status, and estimated cost.

Turning reminders on without a selected approved message is blocked. Complete the message step first.
